Building CoachRoost: the youth sports team app we wished existed
CoachRoost started with our own frustration. We have kids in sports, we coach, and every season we ended up juggling the same mess: a group text here, a shared spreadsheet there, a separate login for every team, and a different app for each club. The tools that existed made it genuinely hard to keep up, and what surprised us most was that nobody actually loved any of them. Families tolerated them. Some even ran advertisements at parents who were just trying to find out what time the game started.
So we set out to build something different: an experience that parents, coaches, and players genuinely love to use. This is what we built.
Built around the family, not the team
Most team apps are organized around a single team, which falls apart the moment you have more than one kid. CoachRoost is organized around the household. One parent account links to every child, on every team, across every sport. A seven-year-old never needs their own email address or password. Add a co-parent and they get their own access, with their own notification settings, without sharing a login.
That one decision changes everything downstream: one inbox, one calendar, one place to RSVP for the whole family.
Scheduling and one-tap RSVP
Coaches build the season once: recurring practices, games, and one-off events, all visible end to end. Parents RSVP in a single tap from an email, with no app to install and no login. A coach invites each parent once; after that the magic link just works on whatever phone they already have, and one tap covers every kid in the family who is on the roster.
Communication that does not get lost
CoachRoost brings the team feed, direct messages, and announcements into one place, with email fallback so the urgent "we moved to Field 3" message reaches everyone, even the parents who have not opened the app. Coaches can pin updates so they do not drown in a group chat, and Quiet Hours hold non-urgent notifications during the evening so team messages stay off the dinner table.
Rosters that remember
Player profiles, medical notes, allergies, and the custom fields a team actually tracks, jersey size, position, snack rotation, are set once and carry from season to season. Per-role visibility keeps sensitive details locked down: coaches see what coaches need, and parents control what gets shared. A new season is picking who is playing, not re-keying everyone's data into a fresh spreadsheet.
Free for the people who power youth sports
CoachRoost is free forever for volunteer coaches, for one team of up to 25 athletes. That is not a trial or a loss leader, it is the point. We make money from organizations and clubs that want every team under one roof with shared templates and their own sending domain, and from an optional Coach+ tier, never from parents, players, or ads. No advertisements, ever, and your data is yours to export any time.
Where we are now
CoachRoost is new. The free Coach plan is open to any volunteer coach today: one team, up to 25 athletes, with the full season toolkit and no credit card. We are still early, and we work closely with the coaches using it — if something is missing or in your way, tell us and it goes straight onto the list.
