Terms of Service

These Terms of Service (“Terms”) govern your access to and use of CoachRoost (“CoachRoost,” “we,” “us,” or “our”), including any websites, mobile experiences, and services that link to these Terms. By creating an account or using CoachRoost, you agree to be bound by these Terms and by our Privacy Policy. If you do not agree, do not use CoachRoost.

1. Eligibility

You must be at least 18 years old to create an account. CoachRoost is built for youth sports organizations; minors may participate through accounts created and supervised by a parent, legal guardian, or authorized organization administrator. Coaches and staff confirm that they are authorized to represent the team or organization they manage on CoachRoost.

2. Accounts

You are responsible for the accuracy of the information you provide and for all activity under your account. Keep your password secure and notify us immediately via our contact form if you suspect unauthorized access. We may suspend or terminate accounts that violate these Terms or that we reasonably believe are being misused.

3. The Service

CoachRoost provides team-management tools, scheduling, RSVPs, messaging, rosters, and related features, to volunteer coaches, organizations, parents, and athletes. Features available to you depend on your subscription tier. We may add, change, or remove features at any time; if a change materially reduces a paid tier, we will provide reasonable notice and a refund or credit for the unused portion of the term.

4. Subscriptions and Billing

The Coach plan is free. Coach+ and Organization plans are paid and billed monthly or yearly through our payment processor (Stripe). By subscribing, you authorize us and Stripe to charge your payment method on a recurring basis until you cancel.

• Cancellation. You may cancel at any time from your subscription settings. Access to paid features continues through the end of the current billing period.
• Refunds. Annual plans are pro-rated for unused months. Organization plans include a 30-day money-back guarantee from initial purchase. Other charges are non-refundable except where required by law.
• Price changes. If we change subscription prices, the new price applies at your next renewal after we give you at least 30 days' notice.
• Taxes. Prices exclude applicable taxes, which may be added at checkout.

5. Acceptable Use

You agree not to:

• Use CoachRoost for unlawful, harmful, harassing, or fraudulent purposes.
• Upload content that infringes another person's rights, is defamatory, sexually explicit, or contains malware.
• Attempt to access accounts, data, or systems you are not authorized to use.
• Reverse-engineer, scrape, or interfere with the operation of CoachRoost, or use it to build a competing product.
• Send unsolicited messages, spam, or otherwise abuse the messaging features.

We may remove content or suspend accounts that violate these rules.

6. Your Content

You retain ownership of the rosters, messages, files, and other content you submit to CoachRoost (“Your Content”). You grant us a worldwide, non-exclusive, royalty-free license to host, store, copy, transmit, and display Your Content solely as necessary to operate and improve the service for you and your team. We do not sell Your Content and we do not use it to train third-party machine-learning models.

You are responsible for having the necessary rights and consents for the content you submit, including any photos or information about athletes and other team members.

7. Children's Data

CoachRoost is designed to be used by youth sports teams. Information about minors is collected only through accounts operated by a parent, guardian, or authorized administrator and is governed by our Privacy Policy, which describes our practices under COPPA and similar laws.

8. Intellectual Property

CoachRoost, including the software, design, and trademarks, is owned by us and our licensors and is protected by intellectual property laws. We grant you a limited, non-transferable, non-exclusive license to access and use CoachRoost in accordance with these Terms. All rights not expressly granted are reserved.

9. Copyright (DMCA)

If you believe content on CoachRoost infringes your copyright, send a written notice to dmca@coachroost.com including: identification of the copyrighted work, the location of the allegedly infringing material, your contact information, a good-faith statement that the use is not authorized, a statement under penalty of perjury that your notice is accurate, and your physical or electronic signature.

10. Termination

You may delete your account at any time from the privacy dashboard. Deletion is held for 30 days, after which your data is permanently erased except as we are required to retain it. We may suspend or terminate your access for violations of these Terms or applicable law, with or without notice. On termination, your license to use CoachRoost ends immediately.

11. Disclaimers

CoachRoost is provided “as is” and “as available” without warranties of any kind, express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the service will be uninterrupted, error-free, or secure, or that messages will be delivered within any particular time.

12. Limitation of Liability

To the maximum extent permitted by law, CoachRoost and its officers, directors, employees, and contractors will not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, data, or goodwill, arising from or related to your use of CoachRoost. Our total liability for any claim relating to CoachRoost will not exceed the greater of (a) the amounts you paid us in the 12 months preceding the claim or (b) US $100.

13. Indemnification

You agree to defend, indemnify, and hold harmless CoachRoost from any claim, damage, or expense (including reasonable attorneys' fees) arising out of your content, your use of the service, or your violation of these Terms or any law or third-party right.

14. Governing Law and Disputes

These Terms are governed by the laws of the State of California, without regard to its conflict-of-laws rules. Any dispute arising from these Terms or your use of CoachRoost will be brought exclusively in the state or federal courts located in San Francisco County, California, and you consent to the personal jurisdiction of those courts. Where applicable, the parties waive any right to a jury trial.

15. Changes to These Terms

We may update these Terms from time to time. If we make material changes, we will give reasonable notice (for example, by email or in-app notice) before they take effect. Your continued use of CoachRoost after a change becomes effective means you accept the updated Terms.
