Is CoachRoost really free for coaches?
Yes. The Coach plan is free forever, no trial, no credit card. We make money from organizations and the optional Coach+ tier.
How long does setup take?
About 90 seconds for a single team. Create the team, paste a roster (or CSV import), invite parents, done.
Do parents need an account?
Yes, but only once. A coach invites each parent and they set up a free account — after that they never have to log in again. RSVPs arrive as one-tap links they answer straight from their email, on any phone, with nothing to install.
Can I import my roster from another tool?
Yes. Export from your current tool as CSV and use our bulk import (Coach+). We map the standard columns (name, email, date of birth, parent email) and you can fill in custom fields once the players are loaded.
What happens if I cancel?
Cancel any time from your subscription settings and you keep full access through the end of the period you already paid for, then drop to the free plan. Nothing is deleted. Payments aren't refunded or pro-rated, but if something has gone wrong, get in touch and we'll sort it out.
Who owns the data?
You do. Export your rosters, messages, events, and RSVPs on demand from the privacy dashboard, as JSON or CSV. We never sell data to third parties.
What if I want to delete my account?
You can request deletion any time from the privacy dashboard. We hold the request for 30 days so you can change your mind, then permanently erase your data. Sole owners of an organization get a blocker until ownership transfers or the org is closed.
Can parents control what coaches see about their kid?
Yes. Per child, per team, parents can restrict medical info, date of birth, and contact details to coaches-only or share them with the whole team. The default is coaches-only.
Will parents actually get our emails?
We treat deliverability as a first-class feature, on every plan. Every notification carries a one-click unsubscribe header (the Gmail and Yahoo bulk-sender standard), so we stay out of spam folders. Addresses that hard-bounce or mark us as spam are automatically suppressed so we stop emailing a dead or hostile inbox, and a send that fails is retried rather than silently dropped. Org admins can see the bounce log and manage the suppression list from settings.
Is there a record of sensitive account activity?
Yes. Sign-ins, invites, deletions, data exports, ownership transfers, subscription changes, and sending-domain changes are written to an append-only audit log with timestamp, actor, and IP. It is an internal incident-response record today, not a self-serve report — ask us and we will pull it for your organization.
